E3S WORKING GROUPS

E3S promotes the organisation of working groups (WG) dedicated to specific topics of the sensory field.

The general aim of a working group is to facilitate exchange of ideas among participants in order to reach a consensus or find solutions in relation to specific problems, organise meetings (seminars, workshops, etc.), propose research activities and produce deliverables. 

Participation in a working group is open to all interested members of national sensory societies joining E3S.

How to organise a working group

Members of national sensory societies joining E3S can organise working groups dedicated to specific topics of the sensory field. Proposals for new working groups should include a fully completed proposal which will be sent to the E3S board and considered at the next board meeting. If approval is granted, the information gathered in the proposal will be uploaded onto the E3S website, analogue to other WG’s.

What information is required?

Members of national sensory societies joining E3S can contribute to an existing working group by contacting the respective coordinator (cc the E3S secretary). For further information visit the working gNew working group proposals require the following information: name of the group, names and details of the working group leads (min. 1 lead and 1 co-lead), names and details of the working group members, the vision of the working group, details of short- and long-term goals and proposed yearly activities. Please complete this proposal form to provide this information to the board.

Proposed yearly activities must include the following:

  • Present a summary of yearly activities at the E3S general assembly (for the first year of a working group, this can be a proposal of activities. For established working groups this must be a summary of working group activities since the last general assembly). At least the leader or the co-leader should attend in person.
  • Minimum of two (2) yearly working group meetings (can be online/hybrid).
  • In addition, an in-person/hybrid meeting or workshop for working group members prior to the E3S general assembly.

The leader of the working group has the responsibility to: 

  • Delegate activities to the co-lead and other working group members as appropriate.
  • Organize working group meetings and activities. 
  • Prepare and present summary of activities at the general assembly and a workshop/meeting prior to the annual general assembly in person (May).  
  • Update the E3S board on any changes to the working group annually – the board will send the information that they hold for the working group for you to check and modify in April (prior to the annual general assembly in May)
  • Complete E3S working group updates for board using this update form to summarise working group activity to the E3S board at least twice yearly, e.g. progress on yearly activities, outputs, brief details of meetings (please send in Jan, April, June, Oct).
  • Close the working group if the vision has been delivered.

Inactivity – if the working group is deemed to be inactive due to not fulfilling the requirements above, the E3S board will contact the Working Group lead to discuss.

How to participate in an existing working group
